Most asked
How do I start?
Tap “Start free”, create your account with your email and a password, then set up your workshop: its name, what you make, and the currency you charge in. It takes about five minutes.
Do I need to download an app?
No. ThimbleKit runs in your phone’s browser. To open it like an app, tap your account menu and choose “Add to home screen”. Store apps are coming.
Can I take orders for a whole group?
Yes. Set up a group order for a wedding party, a choir or a team, and share one link in their chat. Each person adds their name, number, option and measurements, and gets their own order and tracking link. See how it works.
What does my client see?
Your workshop’s name and logo, what’s being made, the current stage in plain words, the due date, what they’ve paid and what’s left, and any note you add. If you choose, your bank details for paying the balance.
How do clients tell me they’ve paid?
On their tracking link, they tap “I’ve paid”, enter the amount and can add the receipt screenshot. The owner gets an email, and it shows under “Needs you today”. Check your account, then tap “Confirm received” to record it, or “Not received” and they’ll see that on their link. Nothing is added to the order until you confirm.
Does it work on weak data?
Yes. Pages are kept light, photos are shrunk on your phone before they upload, and with no signal at all you can still open the orders and clients you use most, move work on, record payments and save measurements. A bar shows what’s waiting, and it all sends when the signal is back. On iPhone, keep ThimbleKit on your home screen for this to work best.
Getting started
How do I start?
Tap “Start free”, create your account with your email and a password, then set up your workshop: its name, what you make, and the currency you charge in. It takes about five minutes.
Do I need to download an app?
No. ThimbleKit runs in your phone’s browser. To open it like an app, tap your account menu and choose “Add to home screen”. Store apps are coming.
My craft isn’t listed. Can I still use it?
Yes. Pick “Something else” when you set up, then go to Settings to name your own measurement fields, put them in groups, and rename your order stages. Upholstery, printing, leatherwork: anything made to order fits.
Is there a dark mode?
Yes. In Settings, under Profile, choose Light, Dark, or Match my phone, which switches with your phone. It’s your own choice: your team pick theirs, and the links your clients open stay light.
Can I run more than one workshop?
Yes. Choose “Open another workshop” from your account menu, and switch between them anytime. Each keeps its own clients, orders and settings.
Clients and measurements
How do I add a client?
Go to Clients and tap “Add client”. A name is enough; their WhatsApp number lets you message them in one tap and send their tracking links.
How do measurements work?
Your workshop starts with the fields your craft uses. Each time you measure a client, the set is saved with its date, so you can see how sizes changed and never start a returning client from a blank page.
Can clients send their own measurements?
Yes. Send them a measurement link from their client page. It shows each field with a picture of where the tape goes. What they send waits for you to check before it’s saved.
Can I change the measurement fields?
Yes, in Settings. Add, rename, reorder and group fields. Archive the ones you no longer use and old records keep their values, or delete a field or a whole group for good, values and all. Orders keep the measurements already on them.
Orders
What goes on an order?
What you’re making, for whom, the price, the due date, the client’s measurements, style and material photos, and the materials used, including anything the client brought, like their own fabric.
What are stages?
The steps an order moves through, from consultation to delivered. Each craft starts with its own, and you can rename, reorder or add stages in Settings. Moving an order updates the client’s tracking link.
Can I make an order from a voice note or a chat?
Yes. On a new order, tap “Tap and say the order” and talk it through: who it’s for, what you’re making, when, materials, prices and any deposit. Or tap “Paste a chat instead” and paste the client’s WhatsApp messages. The form is filled in for you to check; nothing is saved until you do. It understands English and Pidgin, and the recording isn’t kept. Free includes 10 a month, Pro 100 and Business 300.
Can one order have several pieces?
Yes. On the order, tap “More than one piece?” and list them: twelve different styles, or a top, skirt and trouser from one fabric. Each piece can have its own price, the material it’s made from, details and photos, and moves through its own stages: the order is ready when its last piece is. With a team, give each piece to whoever is making it; they’ll find the order under Mine. The client still has one order, one balance and one tracking link, and sees each piece and how many are ready.
Can I book fittings?
Yes. On the order, tap “Book a fitting” and pick the day, and a time if you like, for the whole order or one piece. Your client sees it on their link, it shows on your home screen the day before and on the day, and a WhatsApp reminder is written for you. Afterwards, mark it done, or that they didn’t come.
A client wants the same again. Do I start from scratch?
No. On their past order, tap “Make it again”. The style, pieces, materials and prices are copied into a new order with their latest measurements, and you can bring the photos and links too. Change anything before saving.
Can I log quick repairs and alterations?
Yes. Tap the + button, then “Repair or alteration”, or choose it on a new order. Say what needs doing and the price you agreed. It starts in progress, with no measurements or quote, and still gets its tracking link and receipt.
Can ThimbleKit remind me of my clients’ birthdays?
Yes. On a client’s page, add their birthday, wedding or anniversary. Three weeks before, it shows on your home screen with a WhatsApp message written, offering to make something for it.
What if a client’s measurements are old?
When you start an order for someone last measured more than six months ago, ThimbleKit says so and offers to send them a measurement link, so you can check before you cut.
Can I make something with no client yet?
Yes. Make it a workshop piece: for yourself, for display, or to sell later.
What is the busy-week warning?
When you pick a due date, ThimbleKit tells you if that week already has as many pieces as you usually finish, or falls in a busy season like December or Eid. An order of several pieces counts each one. Set how many you finish a week in Settings.
Will I be reminded about due orders?
Each morning, the workshop owner gets one email listing orders due within two days, overdue ones, and finished orders not yet collected. No email when there’s nothing to list.
Group orders
Can I take orders for a whole group?
Yes. Set up a group order for a wedding party, a choir or a team, and share one link in their chat. Each person adds their name, number, option and measurements, and gets their own order and tracking link. See how it works.
Can each option ask for different measurements?
Yes. Choose the measurements for the group, and give an option its own, like just the head for “Cap only”. People see only what their option needs, and reminders and the download follow the same list.
Can one person pay for several people?
Yes. On the group page, pick the people it covers and record one payment. It fills each person’s balance in turn, and each sees their share on their tracking link.
What does the coordinator see?
The people organising get their own page: who has joined, been measured and paid, and how far along each order is. Never measurements or phone numbers, and amounts only if you switch them on. A group can have up to five coordinators, each with their own link, so taking one off ends only theirs.
How many group orders can I run?
One open at a time on Free, ten on Pro, and as many as you like on Business. Close a group when it’s done and the place frees up; its orders carry on as normal.
Tracking links
What does my client see?
Your workshop’s name and logo, what’s being made, the current stage in plain words, the due date, what they’ve paid and what’s left, and any note you add. If you choose, your bank details for paying the balance.
How do I send it?
On the order, tap “Send on WhatsApp”. The message is written for you; just press send.
Can anyone else see it?
Only someone with the link. Each link is long and random, and it isn’t listed anywhere. You can switch an order’s link off, or make a new one, at any time.
Money and payments
How do I record a payment?
On the order, tap “Record a payment”, enter the amount and how it was paid: transfer, cash, POS or other. You can attach a photo of the receipt as proof. The balance updates straight away, for you and on the client’s link.
Can I send a quote or an invoice?
Yes. Add the materials, workmanship and other charges to the order, then tap “Send the quote” and set the deposit you need to start. The client sees each line and accepts with one tap. After that, the same link is their invoice, with what’s paid and what’s left. They can save it as a PDF or print it. Set your usual deposit and the terms printed at the bottom in Settings.
Can I show my bank account to clients?
Yes. Add up to five accounts in Settings, and choose which ones appear on tracking links.
Can I see what I kept, not just what came in?
Yes. On Money, tap “Add spending” for what goes out: fabric, transport, rent, power. Money then shows what you spent this month and what you kept. Staff pay you mark as paid is added for you. It’s on Pro and Business.
Where do I see who owes me?
The owner’s dashboard shows the total still owed and how many orders it’s on. Each order shows “Part-paid” or “Unpaid” until it’s settled.
Your showcase page
What is the showcase?
A public page of your finished work, with “from” prices, at your own address. Share it on WhatsApp or in your bio. People tap a piece to ask for it, and their request waits in the app.
How do requests become orders?
Tap “Make it an order” on a request. The client is added (or matched by their number), and the order starts with the piece’s photo as the style.
Can I group my work?
Yes. Give pieces a category, like Bridal or Kids, and the page shows them as filters.
Your team
Can my apprentices and staff use it?
Yes. Invite them from Team; each gets their own login. They can see and update clients and orders.
Can I pay my staff by the piece?
Yes. In Team, open “Pay by the piece” and set each person’s rate. When a piece given to them (or a whole order) is ready, it’s added to what they’re owed. Change the amount for any one piece, then mark it paid once you’ve paid them. Staff see only their own pieces and pay. It’s on Pro and Business.
What can staff not do?
Money totals, deleting things, and the workshop’s settings stay with the owner.
Data, phones and your account
Does it work on weak data?
Yes. Pages are kept light, photos are shrunk on your phone before they upload, and with no signal at all you can still open the orders and clients you use most, move work on, record payments and save measurements. A bar shows what’s waiting, and it all sends when the signal is back. On iPhone, keep ThimbleKit on your home screen for this to work best.
Is my clients’ information safe?
Only you and the staff you add can see your workshop. Clients see only their own order, through their link. Read the details in our privacy policy.
Can I export my records?
Yes. In Settings, download your clients, measurements, orders and payments as spreadsheets anytime. They open in Excel, Google Sheets and Numbers.
What happens if I delete my workshop?
It’s kept for 30 days in case you change your mind, and you can bring it back from the setup page. After that it is erased for good, with its photos.
I forgot my password.
On the log-in page, tap “Forgot your password?” and we’ll email you a link to choose a new one.
